Senior Clinic Operations Manager

The Senior Clinic Operations Manager will oversee the daily operations of Dynamic Sports Medicine clinics, managing its multiple managers to ensure smooth patient care, operational efficiency, and financial performance. The individual in this role will also play a key role in supporting the billing and administrative operations of the clinic to maintain a seamless experience for both staff and patients.

Senior Clinic Operations Manager

Key Responsibilities:

1. Clinic Management:

  • Supervise and support clinic managers across multiple locations, ensuring consistent and high-quality patient care.
  • Oversee the scheduling, staffing, and operational workflows of the clinic, ensuring that clinics are operating efficiently.
  • Collaborate with clinic managers to implement and monitor clinical protocols, quality assurance practices, and patient service standards.
  • Provide training, mentorship, and performance evaluations for clinic management staff.
  • Foster a positive and productive work environment for both clinical and administrative teams.
2. Billing Operations:
  • Assist with managing billing operations, including reviewing claims, daily / weekly / monthly reports and ensuring proper documentation and coding.
  • Collaborate with the billing specialist (Erin) to resolve any billing discrepancies or patient insurance issues.
  • Monitor and analyze financial reports, identifying areas for improvement or cost reduction.
  • Ensure compliance with relevant billing regulations, insurance requirements, and clinic policies.
3. Patient Experience & Customer Service:
  • Address and resolve escalated patient concerns or complaints promptly and professionally, working alongside management and/or leadership team.
  • Ensure patient satisfaction through high-level service delivery and communication.
  • Develop and implement patient retention strategies.
4. Operational Efficiency:
  • Streamline clinic operations, implement best practices, and enhance the patient experience.
  • Manage clinic inventory, including ordering and maintaining necessary supplies and equipment.
  • Work with senior leadership to plan and implement clinic growth strategies.
5. Compliance and Documentation:
  • Ensure all clinical operations are compliant with local, state, and federal regulations (e.g., HIPAA, SafeSport, CAQH).
  • Maintain up-to-date records for billing, patient care, and regulatory compliance.

Qualifications:
  • Bachelor’s degree in healthcare administration, business management, or a related field (or equivalent experience).
  • Experience in clinic management, preferably in a healthcare or chiropractic setting.
  • Knowledge of medical billing and coding practices.
  • Strong leadership and communication skills.
  • Ability to multitask, solve problems, and work under pressure.
  • Familiarity with electronic health records (EHR) and practice management software.
  • A commitment to providing exceptional patient care and improving clinic operations.
Preferred:
  • Experience in sports chiropractic or multi-disciplinary healthcare settings.
  • Certification in healthcare management or related fields.
